Terms & Conditions (Dental Partners)

These Terms and Conditions apply to Fixed Price Dental approved Dental Clinics and Practitioners.

Services

We reserve the right to unilaterally amend these Terms and Conditions at any time. All amendments to these Terms and Conditions will be posted to the Fixed Price Dental website.

General

  • The fixed fee that you set in your Practice Dashboard is for each standard fixed fee service or any part thereof.

  • If additional appointments are required to complete the Fixed Price Dental treatment, the patient must not be charged extra.

  • If any of the included treatments for any particular services are not required the cost of the appointment will not be reduced.

  • The fixed fee will not be altered in relation to the number of teeth present in a patient.

  • Bitewing x-rays and Panoramic OPG (Full mouth) x-rays may not be required at every visit but may be recommended for all new patients as a baseline recording.

  • The patient’s (or parent/caregiver’s) consent will be sought before performing any additional treatment(s) beyond the service the patient has booked for. A separate appointment may be required to perform any additional treatment(s).

  • Any further and future treatments can be made directly between your clinic and the patient.

  • If the recommended additional treatment is not part of the approved FPD treating practitioners’ scope of services the patient will be referred to a dental practitioner who is suitably qualified to perform that treatment. That refereed dental practitioner will inform the patient of any fees which may be associated with that additional treatment.

  • For the avoidance of doubt, Fixed Price Dental is not liable for any loss or damage caused by any practitioner, the practitioner holds their own medical indemnity insurance and/or additional insurances and is liable for any work they have performed on patients.

  • In the case of a patient booking in for an incorrect treatment e.g., they book for a filling but the dentist finds that a surgical extraction is required, the patient is made aware of this and provided a separate quote of the extra fees involved. However, if the patient does not want to proceed with the addition service required then they are charged a consultation price of $79 which is paid directly to your clinic.

Cancellation Policy

If a patient cancels or FTA (fails to attend) a confirmed booking, it is the responsibility of the Practice to contact the patient and re-schedule.

If the patient requires a change in appointment time or date, this is entirely up to your clinics discretion to offer an alternative appointment time or date.

Payments and Invoices

Patients will pay your clinic directly for their Fixed Price Dental treatment on the day of their appointment.

Fixed Price Dental invoices are sent monthly to clinics. The invoices provide the details of the patients that have booked through the website and mobile app. Fixed Price Dental charges $50.00 for each appointment booking.

Private Health Insurance

Patients with private health insurance that includes dental extras can use their private health insurance to make a claim on the dental treatments they receive from Fixed Price Dental Approved Dentists.

The dental item codes that make up the total Fixed Price Dental service (this is set by Fixed Price Dental and is the same for every practitioner/clinic) can be claimed by the Fixed Price Dental patient from their private health funds.

You are to provide the patient with a receipt including codes and fees (using your clinics Fixed Price Dental fee schedule) at the time of checkout, the patient can then use this receipt to claim any rebate that is due directly from their health fund.

If you use a Hi-Caps terminal you can also use this to process the claim for the patient.

How We Provide the Services

We accept bookings for third party Approved Dental Clinics to provide the Fixed Price Dental treatments. If for any reason the providing dental clinics needs to defer or cancel a booking, then it is the responsibility of the providing dental clinic to arrange an alternative date/time for the booking that suits both the Patient and the Clinic.

How We Communicate With You Regarding New Patients/Appointments

We will communicate with you via email. Your clinic will receive an email message (via the email address you provide us) notifying you with the details of the booking and also the Patients details.

Clinics that are using Practice Management Software that is integrated with Fixed Price Dental will also receive a confirmation email of the new appointment, and the Patients’ details. The appointment and Patient details will populate your appointment schedule automatically if you are using integrated Practice Management Software.

If your Practice is using our “Side Bar” application (for Practices not using integrated Practice Management Software, the Patient details and appointment details will display here as well and must be entered into your PMS manually.

Your Obligations To The Patient

After the initial appointment booking is made and confirmed by the Patient, you will receive an email from Fixed Price Dental alerting you of this appointment, any further communication with the Patient is to be made directly between your clinic and the Patient.

Fixed Price Treatments and Dental Item Codes

Your Fixed Price Dental fee schedule is set by you in your Fixed Price Dental dashboard. You will select the treatments that your clinic will offer. All of the dental item codes included within these treatments are set by Fixed Price Dental and are the same for every practitioner/clinic across our platform. Fixed Price Dental approved Dentists must only use the set item codes for each treatment. Some of the Dental Item codes for the treatments may not be necessary on certain patients, in this case the full advertised Fixed Price Dental Fee is still charged if the treatment is completed.

Check Up and Clean

Only the following treatments are included (as may be required):

  • 011 Comprehensive oral examination x 1 or;

  • 012 Periodic oral examination x 1

  • 022 Intraoral radiograph – per exposure x 2 (if needed)

  • 037 Panoramic radiograph – per exposure x 1 (if needed)

  • 111 Removal of plaque and/or stain x 1

  • 114 Removal of calculus – first appointment x 1

  • 121 Topical application of remineralisation agents, one treatment x 1

Emergency & Toothache

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 022 Intraoral radiograph – per exposure x 2

  • 037 Panoramic radiograph – per exposure x 1

  • 311 Removal of a tooth or part(s) thereof x 1 (if needed)

  • 419 Extirpation of pulp or debridement of root canal(s) x 1 (if needed)

  • 572 Provisional/interim restoration – per tooth x 1 (if needed)

Tooth Filling

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 022 Intraoral radiograph – per exposure x 2 (if needed)

  • 037 Panoramic radiograph – per exposure x 1 (if needed)

  • 531 Adhesive restoration – one surface – posterior tooth – direct x 1 or;

  • 532 Adhesive restoration – two surfaces – posterior tooth – direct x 1 or;

  • 533 Adhesive restoration – three surfaces – posterior tooth – direct x 1 or;

  • 534 Adhesive restoration – four surfaces – posterior tooth – direct x 1 or;

  • 535 Adhesive restoration – five surfaces – posterior tooth – direct x 1

Dental Crowns

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 022 Intraoral radiograph – per exposure x 2 (if needed)

  • 613 Full crown – ceramic – indirect x 1

  • Second fitting appointment

Basic Tooth Extraction

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 022 Intraoral radiograph – per exposure x 2 (if needed)

  • 311 Removal of a tooth or part(s) thereof x 1

Surgical Tooth Extraction

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 022 Intraoral radiograph – per exposure x 2 (if needed)

  • 314 Sectional removal of a tooth or part(s) thereof x 1 or;

  • 322 Surgical removal of a tooth or tooth fragment not requiring removal of bone or tooth division x 1 or;

  • 324 Surgical removal of a tooth or tooth fragment requiring bone removal and/or tooth division x 1

Wisdom Tooth Removal

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 022 Intraoral radiograph – per exposure x 2 (if needed)

  • Anesthesia (if needed)

  • 311 Removal of a tooth or part(s) thereof x 1 or;

  • 314 Sectional removal of a tooth or part(s) thereof x 1 or;

  • 322 Surgical removal of a tooth or tooth fragment not requiring removal of bone or tooth division x 1 or;

  • 324 Surgical removal of a tooth or tooth fragment requiring bone removal and/or tooth division x 1

  • Stitches (if needed)

Zoom Teeth Whitening

Only the following treatments are included (as may be required):

  • 013 Oral examination – limited x 1

  • 118 Bleaching, external – per tooth x number of teeth
